The yard of your dreams is possible. Are you ready to make it a reality?
For most homeowners, working with a landscaping company or a landscape designer can feel a little nerve-racking – especially if you’ve never hired a team before.
If this has been on your list for a while but you’re not sure what happens next, this blog is the perfect jumping-off point to answer all your burning questions, like:
- What actually is a landscape design consultation?
- Do we have to have everything figured out ahead of time?
- Is this just going to be a sales pitch?
- Is it a collaborative effort, or do we just listen and let the pros do their thing?
At Green Ackors, we realize that most of the homeowners we work with start in the exact same place: they know they want a better outdoor space they can love and enjoy, but they’re not sure what steps to take to get there.
That’s exactly what the first consultation is all about.
With us, the goal of your first landscape design consultation is never to pressure you into decisions. What we want to accomplish with our first consult meeting is a comprehensive understanding of your space, your goals, and how you want your yard to look and also feel.
From there, we work together to build a plan that makes sense for your home, your lifestyle, and, of course, your specific budget.
Want to learn more about our version of a first consult? Let’s walk through it together, step-by-step, so you can show up and feel prepared to tackle your dream landscape.

The First Consultation IS a Big Step (It’s OK to Feel That Way)
Until you sit down for that first consult, the whole “we’re ready to tackle our dream yard” concept is just that – a concept. It’s when you hop on a call or walk through the door and start talking to a team of pros where you start to realize – wait a second, this is real.
Until that point, everything is hypothetical. It’s been all Pinterest boards and saved IG posts and mental checklists. You’ve been thinking, “this is what I wish my yard looked like” for months or years.
Suddenly, you’re going to share that vision with professionals who are going to make it happen. It only makes sense that the pressure would feel a little daunting.
Usually, we hear things like this from our clients:
- “I don’t know exactly what I want yet.”
- “I’m not sure what this is going to cost.”
- “I don’t want to waste anyone’s time if I’m not ready.”
The good news with initial consultations is that you absolutely don’t have to have everything figured out. You don’t need much figured out at all to take this first step.
That’s exactly why this consultation exists – to help you find those answers!

What Really Happens During Your Initial Landscape Design Consultation
Every property and project is different, so that means every consultation will go a little differently. But usually, our initial consultations follow a similar flow or pattern. Here’s what you can expect during your first consultation with our team.
1. Walk the Property Together
In most cases, we’ll start by going for a literal walk with you through your yard. We do this because it helps us:
- See the current layout and conditions
- Identify potential problem areas (drainage, bare spots, outdated features)
- Understand how your space connects as a whole
- Talk through how you’d ideally like to use the space and discover obstacles that keep you from doing that now
It also gives you the opportunity to talk to us about issues and goals in real time – you can tell us what you like, what you don’t, and what you hope will be different.

2. Get to Know You (& How You Use Your Space)
The entire goal of your landscape revamp is to create a space you will spend time in and enjoy. When we get to know you, we get to know your ideal version of the yard, too.
So we’ll ask you questions like:
- What do you like to do outside?
- Do you host gatherings or want to?
- How old are your kids?
- Do you have pets?
- Do you prefer something low-maintenance?
- Is upkeep fun for you?
Sure, we’re getting to know you, but the design is in these details. A yard designed for a ton of entertaining looks very different from one designed for quiet evenings or a family with young kids running around. It also helps us determine which plants might work best. For example, if you have dogs, we’ll steer clear of plants that are toxic to them – whereas those could be on the table if you’re a non-pet household.

3. Talk Through Your Vision
A general direction for your space helps! But that doesn’t mean you need a fully formed plan on the table. You can be vague and work through the shell of a vision first.
For example, you can be as vague as you might want:
- More shade
- Better privacy
- A patio or outdoor living space
- Cleaner, more polished curb appeal
But you don’t have to know how to accomplish those things. Of course, we’ll also talk through elements like:
- Colors you like (and especially ones you don’t like)
- Styles you’re typically drawn to
- Any inspo photos you’ve saved
Your ideas might feel general or scattered, but that’s OK. This part of the process is all about connecting the dots and seeing where they fit together for a comprehensive picture.
4. Discuss Budget
Cue the horror music, right? Listen, we know this part can be scary for some people. But having a general budget range in mind actually makes the process much smoother for preparing a quote. If you’ve got a semi-formed idea of what you’d like to spend, it helps us do our job better. With this information, we can:
- Recommend realistic options
- Select appropriate materials
- Avoid unnecessary back-and-forth later
Again, you really don’t need an exact number. Having a general range is a great start, and it gives us a framework to begin with!

5. Set Timeline Expectations
One of the questions we always get during this stage is: so…how long will it take?
That’s a favorite question for us, because this is the stage where we can start setting realistic expectations. So, during the consultation, we’ll talk through things like:
- Project scope
- Estimated timelines
- Scheduling expectations
An important note for you: you do not have to be home for the entire installation or project. You can be, but it’s not always necessary – and we know it’s not always possible, either. That will never stand in the way of getting your project done!
Our Top Tips to Best Prepare for Your Initial Landscape Consultation
We advise you to avoid overthinking your first consult, but it’s OK to do a little mental prep work to get yourself in the right mindset for the meeting.
Don’t go overboard, but sit down with your family, partner, or yourself to chat through some general thoughts. Not sure where to start? Here are our favorite recommendations for a little bit of pre-meeting prep.
Consider Your Yard Goals
Ask yourself specific questions, like:
- What’s not working in my yard right now?
- What would I change if I could?
- How do I want to use this space?
You don’t have to have an essay-length answer for these. But even rough answers can help guide the conversation we’ll have during our initial conversation.

Gather Yard Inspo (If You Have It)
Photos aren’t required for your initial consult, but they can sometimes help us connect the dots between what you like and how you describe what you like.
You’re not a landscaping pro – it’s not your job to have the proper verbiage down! But if you can show us what you like, we’re already better equipped to create a design plan for you.
You can snap photos of local spots you love, curate a Pinterest board, or save some shots in an IG folder. However you decide to gather your inspiration is totally up to you.
Pick Out Your Problem Areas
If you can, lay your problems on the line. They can be specific, like:
- Poor drainage
- Bare or patchy areas
- Lack of shade
- Privacy concerns
But they can also be vague. You don’t have to have the right words for the things that bother you about your yard – just tell us they bother you, and we can work it out together. This part of the process helps us prioritize what might need attention first.
Of course, it’s important to mention that you don’t have to diagnose poor drainage or subpar irrigation for us to fix that – we’re the experts, and we’ll always point out problem areas for you. It’s not your job to be aware of issues!

Think Through Budget (Even Just a Little)
Again, this doesn’t need to be itemized or exact. Just put a little thought into what you’re comfortable investing in. That alone can help us design something you’ll love that will stay within your budgetary expectations.
A List of Initial Consult Questions: What to Expect
Questions Our Green Ackors Team May Ask You
To build the right plan, we need to understand how your space fits your life. To get that picture, we’ll walk your yard with you while asking some key questions. This is always different based on the project and the space, but we do typically work questions like these into the conversation:
- What does your “dream yard” look like?
- How do you currently use your outdoor space?
- What would you like to do more of outside?
- Who maintains your landscape right now?
The maintenance part of the conversation will matter for how we design and install your landscape. If you plan to maintain it yourself, we’ll design differently than if you have (or plan to have) ongoing maintenance support.
The goal is to give you a landscape you love, but we don’t want to set you up for failure. We can install a dream yard that looks great for a week – but if you’re not planning to maintain a yard that requires a ton of maintenance, your chance for long-term success (and yard enjoyment) are pretty low.

Questions You Should Ask Us During Your Consult
Remember, this is a two-way conversation. We’ll ask you plenty of questions, but you’re not in the hot seat. If anything, we’re in the hot seat. You should want to make sure we’re as good a fit for you and your goals as possible.
If you’re not sure how to talk through goals or don’t know what to ask us, start with questions like these to get the ball rolling:
- What design options would work best for my space?
- What materials or plants do you recommend for Waco’s climate?
- What kind of maintenance should I expect?
- Are there ways to phase the project if needed?
The whole goal is for you to feel confident in the process, sure, but more than that, in the team you’re working with. So, ask! We’re here to answer your questions – and there are no silly ones.

Post-Consultation: What Happens Next?
We’ve done the walk-through. We’ve gathered our thoughts. You’ve given us the third-degree (just teasing).
The consultation has happened, so what happens next?
This is what you can expect from us and the process going forward:
- Proposal & Design Plan: We gather up our notes, measurements, and concepts from our consult and build out a design proposal for you to take a peek at. This will include layout concepts and design, but also recommendations for materials and a full look at the scope of the project.
- Review & Revisions: We’ll take the time to walk through that proposal with you. We can make changes, do reviews, and adjust as you see fit. The whole goal is to agree on and get every detail ironed out before we go forward.
- Scheduling & Deposit: Once we’ve all reached approval, we’ll collect the deposit we’ve agreed on to secure your materials and get your project on our books.
- Pre-Project Walk Through: Before we ever start an install, we’ll do a final walk-through to make sure that our plan still fits and nothing major has shifted our approach. We don’t want surprises to throw up roadblocks the day we plan to start your project.
Once all of those steps are complete, we kick your project into gear together!

The Big Consult FAQ: Landscape Design Consultations in Waco
Do I need to have a full design idea before scheduling?
Not even a little bit. In fact, most of the homeowners we meet with don’t. One of the biggest reasons we have this consult is to help you get specific and hammer out a plan together. That’s exactly why the consultation exists.
How long does the consultation take?
It’s always going to depend on the scope of the project and the size of the property. That’s a very specific-to-your-yard answer!
Is there pressure to commit right away?
Not when you work with Green Ackors. The consultation is about gathering information and building a plan. You’re not expected to commit to anything – especially when you haven’t even seen a proposal from us (that comes next).
What if my budget is limited?
Knowing that your budget has limits is actually the best first step. It’s easier to work within an existing budget than create a plan without any budgetary limitations. Knowing how much money you’d ideally like to spend – or can spend – is excellent because we can design with that number in mind.
